What information we collect

We collect and process the following personal information:

• Name and business name
• Email address and phone number
• Vehicle information (make, model, VIN, registration)
• Insurance claim details
• Photographs of vehicle damage submitted by you
• Correspondence (email, WhatsApp, phone notes)

Why we collect it

We use your information to:

• Prepare and deliver vehicle damage estimates
• Communicate with you about your estimate
• Invoice you for services provided
• Comply with legal and regulatory obligations

The lawful basis for processing is performance of a contract and legitimate business interest.

How we store it

Data is stored using secure cloud services including Google Drive, OneDrive, and Xero. We do not sell or share your personal data with third parties except where required to deliver the service (e.g. sharing estimate files with you or your insurer as instructed).

How long we keep it

We retain business records, including estimate files and correspondence, for a minimum of six years in line with HMRC requirements. After this period, data is securely deleted.

Your rights

Under UK GDPR, you have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data (subject to legal obligations)
• Object to or restrict processing
• Lodge a complaint with the ICO (ico.org.uk)
